A useful packaging quote starts with a clear brief. If two suppliers receive different dimensions, quantities, or finishing requirements, their prices may describe different products. Use this checklist to prepare a consistent request for custom paper tube packaging and make comparisons easier.
1. Describe the product and how it will be packed
State what the tube will contain and whether it is retail packaging, a gift presentation, or an outer pack for delivery. Include the product dimensions, weight, and any parts that need protection. For a bottle or jar, note the cap, pump, and any separate accessories rather than measuring only the main body.
Explain whether the product touches the packaging directly. For tea, coffee, or other food products, distinguish between direct contact and a tube surrounding a separately sealed pack. Ask the supplier to review the material and liner requirements for your intended use; do not assume that a paper tube is suitable for every product.
2. Specify dimensions and the tube structure
Label measurements as internal or external and use one unit throughout the brief. Include the required height and diameter, the preferred lid style, and whether an insert is needed. If the size is undecided, share the product measurements and ask for a proposed fit before requesting final pricing.
A drawing or marked reference photograph can help explain the structure. Treat a reference as a design direction, and identify the features you actually need. Confirm the final dimensions on a drawing or sample before approving production.
3. Define artwork and finishing requirements
Tell the supplier which surfaces need printing, what artwork is available, and which finishes you want quoted. If you are comparing alternatives, request separate prices for each version. A plain tube and a tube with several decorative finishes should not be treated as equivalent quotations.
Ask for the correct artwork template before preparing the final file. Identify important brand colors and discuss how they will be approved. A screen preview can show layout, but a physical sample is more useful when judging fit, surface finish, and the overall presentation. Review the packaging sample and prototype checks to define what must be approved and record any differences from the intended production pack.
4. Separate quantities, samples, and delivery
Provide the quantity for each size or artwork version, not just a combined total. Ask the supplier to confirm the minimum order for the specific design and itemize sample charges, tooling or setup charges, unit pricing, and freight where applicable.
Include the delivery country and destination, your required arrival date, and whether the date is flexible. Ask what the quotation includes, how long it remains valid, and when the production schedule starts. Check the responsibilities for shipping, import charges, and delivery instead of assuming that a quoted unit price includes them.
5. Compare the same specification
Put each response beside the same brief. Check dimensions, materials, printing, finishes, quantity, sample approval, packing method, delivery terms, and exclusions. Ask about any difference before choosing by price. Keep the approved specification with the quotation so later changes can be reviewed clearly. If your brief includes recycled content, certified materials or an end-of-life claim, request supporting documents for the proposed specification. Identify which components and suppliers the evidence covers, including liners, coatings, adhesives and inserts. Ask how the complete pack should be handled after use in its intended market, rather than treating a paper appearance as proof of recyclability.
