A useful paper bag specification connects appearance with the contents it must carry. Complete this brief before comparing quotations, so size, handles, finishing and delivery format are assessed together.
1. Start with the contents
- List the items placed in each bag, their packed dimensions, total weight and any sharp or projecting edges.
- Describe the use: beauty retail, coffee or tea gift purchases, bakery takeaway, an event or another setting. State whether contents already have their own primary packaging.
- Note relevant handling conditions, such as repeated lifting or exposure during collection. Ask which checks are appropriate; do not assume a material weight alone proves carrying performance.
2. Make the size reference clear
- Label width × gusset × height on a sketch, specify units, and identify which measurements are finished dimensions.
- Allow for the contents, opening access and any inserts. Confirm usable space with a sample rather than treating outside dimensions as storage capacity.
- Identify the front and side panels, top fold and handle position. Record how the bag should look when filled, not only when flat.
3. Specify the complete construction
- Request the paper grade and basis weight alongside coatings, laminates, inks, adhesives and any reinforcement.
- Describe the handle type, attachment, preferred length and intended grip. Ask the supplier to propose a construction suited to the agreed contents.
- Separate mandatory features from alternatives. If a window, ribbon or extra layer is optional, request a separate quotation rather than hiding it in the base specification.
4. Approve appearance and handling
- Check the filled bag for fit, access, handle comfort and stability. Agree load and handling checks with the supplier for the intended use.
- Review print placement, colour references, folds and visible glue areas. Confirm how a proof differs from the final production finish.
- Where a sustainability statement is intended, review the full construction and supporting evidence before approving artwork.
5. Compare quotations on the same basis
- Specify quantities by size and artwork version, delivery destination, packing format and requested date.
- Ask each quotation to identify included processes, sampling costs, packing assumptions and exclusions. Clarify freight, taxes and payment terms separately.
- Agree the approved specification, sample reference and acceptance criteria before releasing production.
